Privacy Policy

1. Information We Collect

• Personal Data: Personally identifiable information, such as your name, email address, and firm name, that you voluntarily give to us when you register for an account.
• Derivative Data: Information our servers automatically collect when you access the Service, such as your IP address, browser type, and the dates and times of your access.
• Uploaded Documents: The content of the documents you upload for analysis. Uploaded files are written to a private server volume while your report is prepared and are deleted when the report completes or the job fails (see our Data Retention Policy for exceptions). Generated reports are stored in our database until you delete them or close your account.
• Label Images (Beer Search): The label photos or artwork you upload for a Beer Search are processed by an AI service (Anthropic) to read the text on the label. The image files are deleted from our server when the report completes or the job fails; the report keeps only the text it reads from them.

2. Use of Your Information

We use the information we collect to provide, maintain, and improve our Service, including to:

• Create and manage your account.
• Process your purchases and refunds.
• Monitor and analyze usage to improve your experience.
• Respond to your comments, questions, and requests for customer service.

3. AI and Data Processing

Our service uses the following third-party processors. We do not control their retention practices, and each applies its own terms.

• Anthropic (Claude models and web search tool): portions of your document text, your descriptions, search queries and evidence summaries, to analyze and write the report.
• Voyage AI: patent abstracts (not your uploaded file) to generate embeddings for relevance ranking.
• OpenAlex, Europe PMC, arXiv: search queries derived from your submission, to find scholarly literature.
• Internet Archive (Wayback Machine): URLs of web results, to look up earliest capture dates.
• Anthropic (Beer Search label images): the label images you upload, to read the label text.
• USPTO and EPO: search queries, to find patents, published applications and trademarks.
• Stripe: payment details and purchase information, to process payments and refunds. We do not store full card numbers.
• Email relay provider: your email address and message content, to send account and report notifications, including the finished report as a PDF attachment. Email is not end-to-end encrypted, so please keep your mailbox secure.

Our agreements with AI providers restrict use of API inputs for model training. We do not claim that any provider deletes data immediately, and we have not yet independently confirmed zero-retention terms with them.

4. Data Security

We use administrative, technical, and physical security measures to help protect your personal information. No security measures are perfect or impenetrable.

Backups: The database, including your account data and reports, is backed up nightly in encrypted form to off-site storage (Wasabi). Backups are kept for a limited period (currently about 14 daily and about 13 monthly copies) and then rotate out automatically. A report or account you delete is removed from live systems but may remain in backups until they rotate out.

Reports: Your reports remain in your account until you delete them or close your account. We do not automatically expire them.
